Stone Memories is a trading name of JX Group & Co Pty Ltd (ABN 77 691 604 485). We operate this website and store (the Services), powered by Shopify.
This Privacy Policy explains how we collect, use and protect your personal information when you visit our website, make a purchase or otherwise interact with us. By using our website, you agree to the terms of this Privacy Policy.
1. What we collect
We may collect the following personal information when you interact with us:
- Contact details: name, billing and shipping address, email address and phone number
- Payment information: payment method and transaction details, processed securely by Shopify Payments or a third-party payment gateway. We never store full card numbers.
- Order details: items purchased, order notes and delivery preferences
- Your design files: photos, images, names, dates and text you upload or enter when personalising your keepsake
- Account details (if you create an account): username, password and preferences
- Device and usage data: IP address, browser type, time zone and browsing behaviour through cookies and similar technologies
2. How we use your information
We use your information to:
- Process, fulfil and deliver your orders
- Communicate with you about your purchase or account
- Send updates, offers or newsletters (only if you've subscribed)
- Improve our website, products and customer experience
- Show and measure our advertising
- Detect and prevent fraud or misuse
- Comply with our legal obligations
You can opt out of marketing emails at any time by clicking "unsubscribe" or by emailing hello@stonememories.com.au.
3. Your photos and personalisation details
The photos and text you submit are used only to create your order. We access them to prepare and produce your keepsake, and they're processed by our personalisation app. We don't use your photos for marketing or share them with anyone else without your permission.
Some photos may be personal or sensitive, such as images of children or of loved ones who have passed away. By uploading them, you consent to us using them to make your order, and you confirm that you have the right to use them.
We keep your design files for up to 90 days after delivery in case there's an issue with your order, then delete them. You can ask us to delete them sooner by emailing hello@stonememories.com.au. We may keep basic order records (such as your name, address and order details) for longer where the law requires it, for example for tax purposes.
4. How we share information
We only share your personal information with:
- Shopify: to power our online store, payments and email (including Shopify Email and Shop Pay)
- Our personalisation app: which stores the files you upload to design your keepsake
- Analytics and advertising partners: Google (Google Analytics), Meta (Facebook and Instagram) and Pinterest, which receive information about how you use our website and your purchases, so we can understand site performance and measure and improve our advertising
- Service providers: such as Australia Post and other carriers and couriers
- Professional advisers or authorities: if required by law, for fraud prevention or for legal compliance
We don't sell your personal information for money.
5. Cookies, pixels and advertising
Our website uses cookies and similar technologies, including tracking pixels from Google, Meta and Pinterest, to remember your preferences, keep your cart working, understand how visitors use our site, and show and measure our advertising. These tools may collect your IP address, device and browser details, pages viewed and purchase activity. Some may also receive information such as your email address or phone number in a secured (hashed) form, which lets them match your activity to your account on their platform.
We may use this information to show you our ads on Facebook, Instagram and Pinterest, including if you've visited our website, and to reach people similar to our customers. You can manage advertising preferences in your Google, Meta and Pinterest account settings, or opt out by emailing hello@stonememories.com.au. You can also disable cookies in your browser, but some features may not work properly.
6. Security and retention
We take reasonable steps to protect your personal information from misuse, interference, loss, unauthorised access, modification or disclosure. We keep personal information only as long as necessary for our business operations or as required by law. Design files are kept as described in section 3.
7. Overseas processing
Because we use Shopify and other online tools, some of your information may be processed or stored overseas, for example in the United States or Canada. 8. Your rights
Under the Privacy Act 1988 (Cth) and the Australian Privacy Principles, you may:
- Request access to the personal information we hold about you
- Request correction of inaccurate or incomplete information
- Complain about how your information has been handled
We'll respond to requests within 30 days. If you're not satisfied with how we've handled a concern, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
9. Children
Our products and website are not directed at children under 18, and we don't knowingly collect personal information from minors. If you believe a minor has provided us with personal information, please contact us and we'll delete it. Photos of children uploaded by a parent or guardian for a keepsake are handled as described in section 3.
10. Changes to this policy
We may update this policy from time to time to reflect changes in our practices or legal requirements. Updates will be posted on this page with a revised "Last updated" date.
